Justori Business User Guide

1. VISTA Methodology

Justori Business is a workflow management tool based on our Visible Team Action (VISTA™) methodology to execute tasks set by internal and external clients. VISTA is based on the principle that a task is best accomplishedif itis clearly set, visible to all stakeholders and executed in a transparent manner with every team member owning up his/her responsibility. In Justori Business a task is assigned to a single executor who takes end-to-end responsibility to act upon. He creates his team and requests for different sub-tasks to be performed by members of the formed team. At any point the status of the task and deliverables by team members are transparent to every member of the team and to the supervisors.The tool can be used irrespective of the organization size or structure.

The process of Visible Team Action (VISTA) to deliver service is as follows:

  1. Verbal instructions together with supporting documents from client are received;
  2. The task is assigned to a single executor with end-to-end responsibility;
  3. The executor acts as necessary and the status of the task is reported to the client;
  4. The executor may draws upon support from other users by making a team of collaborators;
  5. The task appears on the panel of the collaborators;
  6. Team members carry out their sub-tasks and keep the team updated on respective status;
  7. A task may be forwarded to an external party or reassigned internally to another function;
  8. Time-bar and other indicators display the status of the task;
  9. All actions by the assigned executor and team members are trailed;
  10. Super-users have visibility of tasks and may interject as and when necessary.

2. User Management

A Business may have one or many functions to serve tasks relating to Reviews, Queries, Requests and Justories (RQR/J).In case Justori Business is deployed for several functions, the function managed by the business admin is referred to as the main Function.

4. Assigning, Executing and Reporting a Task

A. General Rules
  1. The Primary Contact (or the Function Admin) assigns a task to an Executor.
  2. During assignment, the assigner may specify the estimated time to complete the task.
  3. For Reviews, the estimated time for different actions are pre-determined by the Software.
  4. For Query, Request and Justori, the time may be a pre-set standard time (1 to 8 hours) as decided by the Business or an estimated time expressed broadly in no. of days.
  5. In case of estimated time, it allows to take out no. of non-working days between assignment and estimated completion date.
  6. The Assigner may not estimate the time to complete the task. In such case, the Executor will have to specify the time before he can commence upon the job.
  7. The time starts as soon as the task is assigned. The time between receiving the task and assignment is accounted for.
  8. At the status section a percentage bar displays the progression of the task. The estimated total durationis represented as 100% of the bar.
  9. Until the task is completed, the sections of the bar is painted by the colour representing different actions.
  10. If the task is not completed by the estimated time, the bar is extended in Red colour until the task is completed or estimated time is exceeded by 5 times. Beyond which a black marker is affixed although the task may be continued until completed.
  11. The assigner or function admin may reopen a closed task for reworking. The time between closed and reopen is automatically added to the task bar.
  12. At the completion of a task, the Executor may request the Assigner to make adjustment for inactive days for public holidays, sick etc.
  13. If a task is re-assigned to a different Executor, a fresh time-bar is created. However, the previous time-bar continues to be displayed. While the total time spent on the task is calculated, individual Executor times are maintained. A single task may be reassigned a maximum of three times.
  14. All actions are trailed.
  15. When a task is forwarded externally Audit trail and Taskbar are optionally included
B. Special Case: Review
  1. The Business may decide to “show” or not to show the review;
  2. However, if the Reviewer decides to publish the review it will always appear on the Justori app;
  3. Once a review is sent to a business there will be a delay of 6 days for it to appear on Justori;
  4. If there is any contention, during this period, the reviewer and the Business may try to arrive at an agreement. So, unless there is a deferral sought by the Business, the review will be published on Justori on the 6th day since being sent by the Reviewer to the Business or on the day it is approved by the Business, whichever is earlier;
  5. The Reviewer may delete the review in between or afterwards;
  6. If within the 6 days period, the Business seeks a deferral and reviewer revises the review and resends, then again a further 6 day delay is added;
  7. The Reviewer may decide not to defer and the review will be published on Justori at soon as the Reviewer publishes;
  8. The deferral can happen only once;
  9. Once a review is accepted by the Business, it cannot be removed from their business embedded code library for a period of 15 days.
C. Special Case: Justori

Justories created internally by Business

  1. Automatically appear on Business Lounge after being published. There is no need to assign them. Until they are not assigned, the action buttons are disabled.
  2. However, if it is assigned for rework, then the General rules applies and action buttons are enabled.
  3. Upon assignment, to rework the story must be re-transferred to the Executor.
  4. A re-transferred story must automatically become disabled and cannot be enabled unless it is published for the Business again.
  5. An internal story can be re-transferred to only a listed internal user with an existing Justori account.
  6. For a re-transferred internal story, Public and Private options are disabled on the App. It can only be published for the Business.
  7. When the story is republished for the Business, the status simply changes to Process without having to assign again.
  8. An internal story cannot be declined.
  9. A task is completed when the Justori is Published or Deleted from App.

Justories sent by external user

  1. Follows General Rules;
  2. A Justori created by an outsider can be re-transferred also to the original external user;
  3. A re-transferred justori to an external user remains open to publishing as normal by the external user;
  4. The task is completed once a Justori is Published or Declined;
  5. A declined Justori cannot be restored.
